Sending a sweetener formula for contract blending: what to prepare

Before a contract blender can quote or schedule a custom sweetener blend, the buyer needs to hand over a formula that is complete enough to be produced and checked. If you already own the recipe, the goal is not to rewrite it. The goal is to transfer it in a form the factory can follow without guessing.

A production-ready handover usually includes a controlled composition, raw-material identification, separate formula and specification documents, a disclosure route, and a written change-approval path. Missing proprietary details can be handled in phases, but production cannot be promised from an unknown formula.

Start with a composition that adds up

The first item is a controlled composition table. Each component should have a clear unit, and the figures should sum consistently to the declared total. State whether each percentage refers to dry ingredients, supplied solutions, or the finished blend as packed. If a component is added as a solution, record its concentration and whether the stated amount is the solution or the active solids. This clarification makes the intended quantities easier to interpret when discussing dose and batch yield.

Identify raw materials by code, not by trade name alone

A trade name such as a branded sweetener or carrier is not enough for production. The packet should list the exact raw-material code, the supplier or nominated source, and the specification version the formula was built on. If the buyer expects the blender to source a component, say so. If the buyer supplies it, say that too. Do not assume that a different manufacturer's material with a similar description is interchangeable. Substitution authority should be named in writing: who may propose a substitute, who tests it, and who gives final approval.

Keep formula, process, and finished specification separate

These are three different kinds of information. They can share a file if each has an unambiguous section and version reference. The formula states what goes into the blend. The process describes order of addition, mixing or blending steps, and any temperature or timing conditions the buyer requires. The finished specification states what the blend must meet when tested, including appearance, particle size range, moisture or other agreed parameters, and sensory targets. Separating them makes it easier to update one without accidentally changing another, and it helps the blender quote the correct work.

Use an agreed confidential channel

Formula disclosure should travel through a channel both sides have agreed to use. Agree the applicable confidentiality terms, then choose a suitable transfer channel, such as an access-controlled folder or a named technical contact. Do not assume the factory has already signed an NDA just because a sales conversation has started. Ask what channel they use for proprietary documents and confirm it before sending the full formula. If some details are too sensitive to release at the quotation stage, a phased approach can work: share enough to quote, then release the remaining detail after commercial terms and confidentiality are in place. However, production should not be promised while key composition details remain unknown.

Build a document packet with a change-approval record

A practical handover packet might include a cover sheet, the controlled composition table, raw-material identification list, process description, finished specification, packaging requirements, and a change-approval log. The change log should record what changed, who requested it, who approved it, and which document version is now current. This is a proposed format, not a mandatory company procedure, but it gives both sides a single reference point. When the blender proposes a substitution or a process adjustment, the buyer can review it against the current version rather than an earlier verbal instruction.

What to do with the completed packet

Once the packet is assembled, review it internally for gaps before sending. Check that units are consistent, that every raw material has an identified source or a clear sourcing responsibility, and that formula, process, and specification are clearly distinguished. Then send it through the agreed channel and ask the blender to confirm receipt and list any missing items. Use their response to decide whether you can request a production quotation or whether a sample trial is needed first. If the blender can quote but flags unresolved items, treat those items as open points to close before production, not as details to settle later.
